Maintenance Coordinator (Remote) — UK Airbnb Property Management Company

Hours: Full-time, 40 hrs/week — schedule to be agreed with the successful candidate, but must include some weekend coverage and flexibility for occasional on-call support during weekdays Working hours: UK time zone (GMT) Start date: ASAP

The Role

You’ll own the maintenance side of our operation and play a key role in keeping our landlords happy. When something breaks in a property — boiler, washing machine, a guest complaint about a light fitting, a leak — you’re the person who takes it from “problem reported” to “problem fixed and landlord informed.” You won’t be fixing things yourself; you’ll be coordinating contractors, triaging urgency, communicating with landlords and guests, and closing the loop.

Alongside maintenance, you’ll be a core part of our landlord relationship management — keeping our property owners updated, professional, and confident that their asset is in the best hands. Landlords are our clients, and how you communicate with them directly affects whether they stay with us and refer other landlords.

This role is currently being done by one of our co-founders. We need someone sharp enough to take it off his plate so he can focus on scaling the business.

What You’ll Actually Do Day-to-Day

Triage incoming maintenance issues from guests, cleaners, and landlords (via WhatsApp, our PMS Uplisting, and email)

Decide what’s urgent vs can wait, what needs a contractor vs a quick DIY fix by our cleaning team
Coordinate with our network of contractors (plumbers, electricians, handymen) — get quotes, book jobs, chase updates, verify completion

Manage day-to-day landlord communication — respond to their messages, keep them informed proactively, and handle the more demanding landlords with professionalism and calm
Send regular updates to landlords on maintenance issues, costs, and resolutions

Update our Notion database with every maintenance event so we have a full history per property

Build and maintain preventative maintenance schedules (boiler services, deep cleans, inspections)

Help us build out SOPs for both maintenance and landlord management as we scale

Availability & Schedule

Short-term rentals don’t sleep — our busiest check-in days are Fridays and Saturdays, which means weekend coverage is important to us. We’re open to discussing the exact weekly schedule with the right candidate, but you need to be:

Available to work across a schedule that includes weekend days (not Mon-Fri only)

Willing to be on-call for urgent issues on your non-working days when needed (paid accordingly)

Reliable and responsive during agreed working hours — if a guest has no hot water on a Saturday night, we need someone who picks up

If “only Mon-Fri, 9-5” is a hard requirement for you, this isn’t the right role — please don’t apply.

What We Need From You

Excellent written and spoken English — you’ll be on calls with UK contractors and messaging UK landlords daily. This is non-negotiable.

Previous experience in short-term rental, property management, or hospitality coordination — ideally having used Uplisting, Guesty, Hospitable, or similar PMS

Strong client-facing communication skills — you can handle a frustrated landlord with empathy and authority, and turn a tense conversation into a reassured one

Strong judgement — you can decide what’s a £50 problem vs a £500 problem and escalate appropriately

Assertiveness with contractors — you’re comfortable chasing a plumber for an update or pushing back on an inflated quote

Organised and process-driven — you like documenting things, following SOPs, and building systems
Comfortable with Notion, WhatsApp, Google Workspace, and picking up new software quickly

Reliable fibre internet and a quiet working environment for calls

High standards — you notice the small things, you care about getting details right, and mediocre work bothers you

Bonus Points For

Experience working with UK-based clients/companies
Background in facilities management, hotel operations, or similar
Familiarity with PriceLabs, SuiteOp, or the UK short-term rental market
Previous account management or client success experience
