KEY RESPONSIBILITIES
■      Provide high-level executive support to the client, operating as a trusted extension of their working environment.

■      Support approximately 3–4 additional professionals, balancing their individual priorities, expectations and working styles alongside those of the client.

■      Manage complex calendars, meetings and scheduling across multiple countries and time zones.

■      Liaise with the travel agency to book and coordinate international travel, including flights, hotels and visas, ensuring itineraries are accurate and aligned with each executive’s schedule.

■      Assess incoming requests for importance and urgency, prioritise accordingly and take ownership through to completion.

■      Communicate with senior executives, investors, board members and high-profile contacts in a polished, confident and professional manner.

■      Conduct global research on people, organisations, events, travel, business opportunities and other international requirements.

■      Manage follow-ups, documents, communications and competing priorities with a high level of accuracy.

■      Handle confidential, sensitive and high-level information with discretion and maturity.

■      Anticipate needs, follow up proactively, close loops and keep work moving without waiting for instruction.

■      Move fluidly between strategic, administrative and urgent requests while understanding the wider business context.

THE IDEAL CANDIDATE
■      Senior Executive Assistant experience – Proven experience supporting senior executives, founders, investors, business leaders or high-level professionals.

■      Experience managing multiple accounts – Has successfully managed the priorities and expectations of multiple clients or executives and is comfortable switching between different working styles and requirements.

■      International travel coordination – Comfortable liaising with a travel agency to book international travel, including flights, hotels and visas.

■      Strong international mindset – Comfortable working across different countries, cultures, time zones and global business environments.

■      Executive-level presence – Confident and highly professional when communicating with senior executives, investors, board members and high-profile contacts.

■      Exceptional multitasking ability – Able to manage multiple priorities, deadlines and requests simultaneously while maintaining a high level of accuracy.

■      High-impact request management – Able to quickly assess the importance and urgency of a request, prioritise appropriately and take ownership through to completion.

■      Strong judgement and discretion – Comfortable handling confidential, sensitive and high-level information with maturity and professionalism.

■      Highly proactive – Anticipates what an executive may need rather than simply waiting for instructions; naturally follows up, closes loops and keeps things moving.

■      Excellent communication skills – Polished, concise and professional written and verbal communication.

■      Global research and coordination skills – Confident researching people, organisations, events, travel, business opportunities and other international requirements.

■      Highly organised and detail-oriented – Able to manage complex calendars, meetings, travel, follow-ups, documents, communications and competing priorities.

■      Adaptable and commercially aware – Able to move between strategic, administrative and urgent requests while understanding the wider business context.

■      Tech confident – Comfortable working across multiple systems and platforms and able to quickly learn new technology.

■      Calm under pressure – Able to manage urgent, high-priority requests without becoming overwhelmed.

■      Strong ownership mentality – Takes responsibility for getting things done and does not need to be constantly managed.

OVERALL CANDIDATE PROFILE
We are looking for someone who operates more like a Senior Executive Assistant or Executive Business Partner than a traditional VA. The ideal candidate will have a proven track record of managing multiple executive accounts, working independently and supporting high-level individuals in demanding environments.

They should be globally minded, commercially aware, discreet, highly organised, proactive and confident managing high-impact requests. Most importantly, we need someone who can think beyond the task, understand the bigger picture and become a trusted extension of the client’s working environment, while delivering the same standard of support to the wider team.
