Job Title: Virtual Sales Assistant (Supporting 3 Sales Reps)
Location: Remote (Working New Zealand Hours: 8:00 AM – 4:00 PM NZT)
Reports To: Sales Team / Sales Manager

Tradelands is a fast-paced and dynamic company that values initiative, attention to detail, and a proactive approach to work. We’re currently looking for a Virtual Sales Assistant to support three of our Sales Representatives and help streamline their day-to-day operations.
Key Responsibilities
Inbox Management: Monitor and manage inboxes for 3 sales reps, ensuring timely responses and flagging important communications.
Calendar Coordination: Manage reps’ schedules, set appointments, and ensure meetings are organized efficiently.
Sales Admin Support:
Enter sales orders into NetSuite
Create and edit quotes
Draft and prepare follow-up emails
CRM Management: Update and maintain customer records in HubSpot and NetSuite.
Daily Check-ins: Run brief daily 1-to-1 virtual meetings with each sales rep to review and structure their day.
Follow-up Coordination: Help reps stay on top of tasks, proposals, and client follow-ups.
Skills & Experience
Strong attention to detail – accuracy and thoroughness are essential.
Confident with technology and CRM tools – experience with HubSpot or NetSuite is a plus, but training will be provided.
Highly organized with excellent time management skills.
Clear and professional communication skills – both written and verbal.
Comfortable working independently and taking initiative.
Able to manage multiple tasks and priorities across multiple team members.
Ideal Candidate
A natural ‘alpha’ personality – confident, assertive, and takes ownership.
Friendly and approachable, with a team-player attitude.
Not afraid to ask questions, speak up, and suggest improvements.
Willing to learn, adaptable, and open to training and feedback.
Previous experience supporting a sales team or working in a virtual assistant/admin role is highly desirable.
