We are an established Architectural Precast & Foam business seeking a reliable, organized, and people-friendly Remote Office Manager / Administrative Assistant
This highly rewarding role combines office management, customer service, billing support, and light marketing outreach. Construction experience is not required — strong organizational skills and good judgment matter more.
Our company accommodate the desires of any homeowner, the wants of any builder, and the dreams and designs of any architect. We are looking for some-one to enjoin being part of what we do.
Note:
This is a 30 hours per week position with consistent responsibilities and room to grow.
Key Responsibilities
Office Management & Administration
Act as the central point of contact for office coordination and customer communication
Handle day-to-day administrative tasks with minimal supervision
Maintain organized digital records and workflows
Billing, Invoicing & Bookkeeping
Prepare and send invoices accurately and on time
Support basic bookkeeping tasks (QuickBooks)
Organize financial records beyond simple data entry
Assist with compliance-related billing and documentation
Customer Service
Communicate professionally and calmly with customers
Handle billing questions or complaints with patience and firmness
Follow up on outstanding items and resolve issues efficiently
Marketing & Outreach (Light, Structured)
Make approximately 10 cold calls per week for marketing or follow-ups
Assist with preparing basic marketing materials
Support outreach related to pre-cast or project-specific needs
Skills & Qualities We’re Looking For
Organized, detail-oriented, and dependable
Comfortable working independently in a remote environment
Friendly and easy-going personality, but firm and professional when needed
Effective communicator — polite, confident, and clear
Calm under pressure with an “underlying edge” when handling problems
Willing to learn new systems and processes
Technical Requirements
Experience using QuickBooks or similar bookkeeping software
Comfortable with invoicing, billing, and basic financial tracking
Confident using email, spreadsheets, and online tools
Experience
Experience in construction is not required
Background in office management, administration, customer service, or bookkeeping is preferred
Hours & Work Style
30 hours per week
Fully remote
