This is a remote position.

A distinguished executive search company is seeking a highly professional, discreet Executive Assistant to support its Managing Director. This is a remote, part-time role (approximately 10 hours per week) requiring exceptional organisational ability, world-class written and verbal communication, and a high level of tech-savviness across both Microsoft and Google ecosystems. The role calls for someone confident working autonomously in a fast-paced environment while maintaining absolute discretion.

The ideal candidate brings a strong problem-solving mindset, works seamlessly within a team, and operates with a high degree of transparency and integrity. They are proactive in setting expectations, keeping stakeholders updated in real time, and ensuring nothing slips through the cracks. Given the highly sensitive nature of both business and personal matters, absolute discretion and confidentiality are essential.

This position is an independent contract role, approximately 10 hours per week (capped 40 hours per month)

Key Responsibilities

Confidential Administrative Support: Manage highly sensitive personal and business administration with absolute discretion, including secure records management and information handling across multiple entities.

Business Enablement & Operational Support: Provide flexible, on-demand support to the Managing Director across evolving business priorities, including administrative support for the company, data capture and organisation, research, internal documentation, and follow-ups that remove operational friction.

Property & Asset Support: Assist with administrative and coordination tasks related to investment properties and renovations, including supplier liaison, documentation, and ongoing logistics (excluding legal and financial matters).

Research & Ad-Hoc Requests: Conduct structured research and handle ad-hoc tasks across both business and personal contexts, including suppliers, education, travel, visas, and other time-sensitive needs, presenting outputs clearly and practically.

Personal Administration & Life Logistics: Take ownership of personal administrative tasks to reduce cognitive load, including matters relating to children, education, travel, visas, household administration, and general life logistics.

Problem-Solving & Ownership: Act as a trusted problem-solver with end-to-end ownership of tasks, working autonomously while keeping the Managing Director clearly informed through proactive updates.

Qualifications & Experience

Proven experience supporting senior executives, preferably within a professional services, consulting, or similar high-standards environment (recruitment experience is not required).

Exceptional written and verbal communication skills, with a professional, confident, and proactive communication style focused on clarity, expectation-setting, and timely updates.

Outstanding organisational skills and attention to detail, with the ability to prioritise effectively across multiple, changing demands.

High level of technical proficiency, including Microsoft Office and Microsoft 365, Google Workspace, and familiarity with collaboration and communication tools such as Microsoft Teams, Zoom, and Google Meet.

Strong project planning capability, with experience using project planning or task-management tools to track progress, surface bottlenecks early, and drive tasks through to completion.

Highly autonomous and self-motivated, with a proven track record of delivering results with minimal oversight while taking direction easily and executing efficiently.

Demonstrated ownership and accountability, ensuring tasks are fully handled end-to-end, stakeholders are kept informed in real time, and outcomes are delivered to a consistently high standard.
