We are seeking an exceptional, highly organised and proactive Executive Personal Assistant to support a UK-based property investment and management business.
This is a long-term, full-time remote position for someone who is intelligent, resourceful, detail-oriented and capable of managing multiple matters independently.
Key Responsibilities
Property & Business Administration
Liaise with estate agents, solicitors, lenders, brokers, surveyors, managing agents and contractors.
Follow up on property purchases, refinancing, lettings, development projects and outstanding documentation.
Research properties, comparable sales, rental values, planning applications and investment opportunities.
Maintain property records, spreadsheets, tenancy information and compliance documentation.
Obtain quotations, compare options and follow through until matters are resolved.
Legal, Financial & Insurance Administration
Follow up with solicitors on contracts, leases, transactions and outstanding matters.
Coordinate mortgage applications, valuations and lender requirements.
Organise invoices, payments, insurance policies, renewals and supporting records.
Assist with complaints, claims, disputes and correspondence.
Track important deadlines and ensure nothing is overlooked.
Executive & Personal Assistance
Manage emails, correspondence, appointments and reminders.
Draft professional emails and letters in excellent English.
Arrange international flights, accommodation, car hire and complicated travel itineraries.
Research products, services, suppliers and solutions.
Manage documents and folders using Google Drive, Gmail, Google Sheets and Microsoft Office.
Take responsibility for miscellaneous business and personal administrative tasks.
Essential Requirements
Excellent written and spoken English.
Previous experience as an Executive Assistant, Personal Assistant or senior administrator.
Highly competent with computers, spreadsheets, online research and digital tools.
Comfortable using ChatGPT and other AI tools to improve productivity.
Exceptional attention to detail and ability to follow instructions accurately.
Strong initiative, common sense and problem-solving ability.
Able to work independently, prioritise tasks and follow through without repeated reminders.
Confident communicating with UK professionals by email and telephone.
Trustworthy, discreet and capable of handling confidential information.
Experience in UK property, conveyancing, lettings, mortgages or property management would be a significant advantage.
The Ideal Candidate
We are not looking for someone who simply waits for instructions.
We need someone who takes ownership, anticipates what needs doing, follows up persistently and delivers results.
You should be comfortable managing numerous ongoing matters, asking intelligent questions when necessary and providing concise progress updates.
Working Arrangements
Full-time, remote.
Minimum 35 hours per week.
Availability during UK business hours is essential.
