Position Overview:

 

We’re building a pool of experienced Executive Assistants who can support busy executives remotely across a variety of industries. The most active industries hiring for this role include finance/accounting, home services, tech/SaaS, and real estate, but demand is cross-industry.

 

The day-to-day is straightforward: own the calendar, manage the inbox, keep projects on track, and make sure nothing falls through the cracks. You’ll work with US-based small to mid-size businesses that need someone reliable, organized, and comfortable working independently.

 

Key Responsibilities:

 

Manage executive calendars, schedule meetings, and resolve conflicts across time zones.
Monitor and organize email inboxes, draft replies, and flag urgent items.
Track tasks, deadlines, and deliverables using project management tools (Monday.com, Asana, Notion, ClickUp, or similar).
Coordinate travel, prepare itineraries, and handle logistics.
Prepare documents, meeting notes, reports, and presentations.
Act as a communication bridge between the executive and internal/external contacts.
Anticipate needs and handle problems proactively before they escalate.

 

Qualifications:

 

2+ years of experience as an Executive Assistant or in a similar remote admin support role.
Strong calendar management, inbox management, and scheduling skills.
Proficient with Google Workspace and/or Microsoft Office.
Experience with at least one project management tool.
Strong written and verbal English.
Reliable internet and a quiet home office setup.
Able to work US business hours.

 

Nice-to-Haves:

 

Experience supporting C-level executives (CEO, COO, Founder).
Background in finance, home services, tech/SaaS, real estate, or professional services.
Familiarity with CRM tools (HubSpot, Salesforce) or communication tools (Slack, Loom, Zoom).
Bilingual English/Spanish.
