We are seeking an experienced and highly organizedProperty Manager Virtual Assistant to support the management of a portfolio of approximately 15 residential rental properties for a U.S.-based company East Coast USA West Virginia.
This role includes leasing coordination, tenant communication, maintenance scheduling, and support for renovation and house-flip projects.
This is a fast-paced position best suited for someone who is detail-oriented, proactive, and able to manage multiple responsibilities independently.
Key Responsibilities
Leasing & Tenant Management
Post and manage rental listings
Respond to tenant inquiries via text, email, and phone
Pre-screen prospective tenants
Schedule and coordinate property showings
Follow up with applicants and prospects
Process applications and assist with lease documentation
Coordinate move-ins, move-outs, and deposits
Provide ongoing tenant support
Property Maintenance & Operations
Coordinate repairs and maintenance requests
Schedule property inspections (routine, move-in/out, renovation-related)
Communicate with contractors and vendors
Order materials and supplies for repairs
Renovation & Project Coordination
Assist with house-flip and renovation projects
Track timelines, tasks, and project progress
Coordinate contractors and material deliveries
Support property readiness for sale or leasing
Administrative & Systems
Maintain spreadsheets and tracking systems
Monitor rent payment status (tracking only)
Manage tasks and workflows using project management tools
Maintain organized records across systems
Qualifications
2+ years experience in property management, leasing, or related field
Experience coordinating property showings and tenant communications
Strong knowledge of construction materials and maintenance processes
Proven ability to manage vendors and maintenance coordination
Familiarity with rural U.S. markets (West Virginia experience a plus)
Strong written and verbal communication skills
Ability to work independently and stay organized in a remote setting
Proficiency in Microsoft Office Suite
Strong working knowledge of Microsoft Office programs
Intermediate knowledge of Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
Competent in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
Proficiency in Microsoft 365 applications
Experience using Microsoft Office and related business software
Intermediate to advanced Microsoft Office skills preferred
Experience with Asana or similar task management tools
Working knowledge of QuickBooks
Experience with property management software (Quo preferred)
Preferred Qualifications
Experience supporting renovation or house-flip projects
Background managing smaller or rural property portfolios
