Executive Personal Assistant (PA) to Director
We are recruiting an experienced Executive Personal Assistant (PA) to provide high-level, comprehensive support to a Director overseeing a group of eight businesses operating within the live events industry across the UK, USA, and Dubai.
This is a critical executive support role requiring discretion, initiative, and strong operational awareness. The successful candidate will work closely with a frequently travelling Director, acting as a trusted partner responsible for managing schedules, communication, and administrative priorities across multiple companies.
This opportunity is ideal for a seasoned Executive PA who thrives in autonomy, demonstrates exceptional attention to detail, and has proven experience supporting senior leadership within complex, multi-entity organisations.
Responsibilities
Provide high-level Executive PA support to the Director across eight live-events businesses
Manage complex international travel arrangements, including flights, accommodation, itineraries, and last-minute changes
Oversee and manage the Director’s calendar, meetings, and scheduling across multiple time zones
Prepare, format, and maintain executive-level spreadsheets, presentations, and reports
Track priorities, deadlines, and actions using Monday.com, ensuring effective executive task management
Act as a central liaison between the Director, head office teams, and operational staff
Support administrative and coordination needs across the group, applying commercial awareness and sound judgement
Manage executive communications, ensuring clarity, professionalism, and timely follow-ups
Maintain absolute confidentiality and discretion when handling sensitive business and personnel matters
Proactively anticipate executive needs and resolve issues independently
Qualifications
3–5 years’ proven experience as an Executive PA or senior Personal Assistant supporting Directors or C-level executives
Demonstrated experience providing direct support to senior leadership in fast-paced environments
Required Skills
Strong organisational and prioritisation skills, with the ability to manage multiple businesses and stakeholders
High level of autonomy, accountability, and self-motivation
Excellent written and verbal communication skills, with a professional executive presence
Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
Experience using task or project management platforms (Monday.com experience highly advantageous)
Ability to quickly learn and navigate internal systems, including CRM platforms such as Staffwise
Strong attention to detail, common sense, and problem-solving ability
Proven discretion, integrity, and trustworthiness at executive level
Preferred Skills
Reliable laptop or desktop computer suitable for full-time professional use
Stable, high-speed internet connection
Availability to work full-time (37.5–40 hours per week)
Comfortable using communication and collaboration tools such as Slack, Loom, and virtual phone systems
Ability to align with UK working hours and accommodate international scheduling
