Job Title: Executive Assistant

Position Overview

We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive support to a senior executive. The ideal candidate will be a master of organization and a strategic partner, responsible for managing a wide range of administrative and executive support tasks to enhance the executive’s efficiency and effectiveness.

This is a critical role for a self-motivated individual who can work independently, handle confidential information with the utmost discretion, and thrive in a fast-paced environment.

Key Responsibilities

Calendar Management: Proactively manage and maintain complex calendars, schedule meetings, resolve scheduling conflicts, and ensure the executive is prepared for all appointments.
Travel Coordination: Arrange complex domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
Communication Management: Act as a gatekeeper, screening and prioritizing incoming emails and calls. Draft and manage correspondence on behalf of the executive.
Meeting & Event Support: Prepare meeting agendas, take detailed minutes, and distribute action items. Coordinate logistics for both virtual and in-person events.
Expense Management: Prepare, submit, and track expense reports in a timely and accurate manner.
Document Preparation: Create, edit, and format documents, presentations, and reports with a high degree of accuracy and professionalism.
General Administrative Support: Provide comprehensive administrative support, including managing contacts, ordering supplies, and handling ad-hoc projects as needed.

Required Qualifications

3-5+ years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting C-level or senior executives.
Exceptional organizational and time-management skills with the ability to manage multiple competing priorities.
A high level of discretion and an unwavering commitment to confidentiality.
Excellent written and verbal communication skills in English.
Proactive and able to anticipate needs, solve problems, and make thoughtful decisions independently.
High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace (Gmail, Calendar, Docs, Sheets).
A reliable internet connection and a suitable remote work setup.

Preferred Qualifications

Familiarity with project management tools (e.g., Asana, Trello, Monday).
