JOB OVERVIEW
We are on a mission to become the most efficient, data-driven maintenance-coordination team in short-term rentals.
Managing 25 homes (and growing), we run on transparency, reliability, accountability, and continuous improvement. When a pipe bursts or an HVAC fails, we move first, think clearly, close the loop, and improve the playbook so the next fix is faster.

THE ROLE – Maintenance Coordination & Continuous-Improvement VA
(Philippines, flexible U.S. overlap)
You will be the control tower for maintenance tickets: triaging issues, lining up vendors, tracking SLAs, and logging every insight that makes the system smarter. Your schedule adjusts with seasonality but always includes at least four hours of U.S. business-hour overlap plus rotating weekend coverage.

CORE RESPONSIBILITIES

Triage new maintenance requests in our AI-powered inbox and set priority/SLA within 10 minutes.

Create and tag ClickUp tasks for every actionable item before shift end.

Schedule and brief vendors; collect arrival photos and invoices.

Chase open tasks until closed; escalate blockers or emergencies to the on-call manager.

Document SOP gaps and update property notes, vendor records, or checklists when you spot them.

Record a concise end-of-shift Loom or note so the day team starts with clear context.

WHAT SUCCESS LOOKS LIKE
First 30 Days

Comfortable with AI inbox and ClickUp flow.

Booking vendors for low-risk jobs; average first response 12 minutes or faster.

First 60 Days

Clearing 100 % of maintenance tickets independently overnight.

Capturing 98 % or more of actions as ClickUp tasks.

Submitting three or more workflow-improvement ideas.

First 90 Days

Operating with minimal supervision.

Training a backup VA on your core workflow.

Launching your first small process-improvement project.

KEY METRICS

Average first-response time: under 10 minutes.

Task-capture accuracy: 98 % or higher.

Vendor job reopened rate: 5 % or lower.

Documented process improvements: two per month.

QUALIFICATIONS

Two years of remote property-management, coordination, or project-management experience.

Near-native written and spoken English; confident on vendor and guest calls.

Fast tech learner; experience with ClickUp, Zapier, GPT tools, or PMS software is a plus.

Reliable home office: 50 Mbps primary internet, LTE backup, UPS, quiet room.

Strong ownership mindset—if the ticket appears on your watch, you solve or escalate it.

Performance bumps of USD 1–3 per month every time you hit agreed targets, until you reach the role ceiling.

COMPENSATION & HOURS

USD 7–12 per hour (about USD 1,120–1,920 per month at 40 hours per week).

Quarterly bonuses up to 20 % of base tied to the metrics above.

Night/flex hours: roughly 10 PM – 6 AM Philippine time with rotating weekends.

100 % remote contract, paid via Wise, 13th-month equivalent after one year.

Permanent night/flex work; peak season can mean 25–50 active tickets at once.

SOPs change frequently—if rapid change stresses you, this is not the role for you.

Mistakes appear in public dashboards—accountability is real here.
