Role Overview

We’re seeking a highly organized and proactive Executive Support Specialist to join our team. This role involves ensuring seamless communication, managing schedules, and supporting operational excellence to keep clients happy and everything running smoothly.

Your Responsibilities Will Include but Are Not Limited To:

Email management (organization, review, and delegation) using Front to automate and sort emails
Developing and distributing standard operating procedures (within SharePoint and Loop)
Handling client communication
Calendar management
Supporting document drafting.
Ensuring that time tracking is up to date
Coordinating networking events
Taking meeting notes and saving them into client files

What We’re Looking For

At least one year of experience in an executive assistant or administrative assistant role.
Experience using Front or similar email management systems
Strong proficiency in written and spoken English.
Familiarity with SharePoint and Loop for SOP development and distribution.
Proficiency in calendar management tools.
Experience with time tracking software
Tech savviness
Exceptional attention to detail.
Ability to remain calm and composed under pressure.
Highly proactive and self-motivated.
Excellent organizational abilities.
Client-oriented mindset.
Humble yet confident and assertive communication.
A positive and engaging personality.
A quiet, private workspace suitable for remote work.
Your own PC or laptop, headset, and a reliable high-speed internet connection (minimum 10 Mbps download / 5 Mbps upload).
